Multi branch

Growing from one branch to five doesn’t just multiply the work. It multiplies the places your information can hide.

Most multi-branch agencies we speak to aren’t short of data. It’s just sitting in five different places, in five different formats. Branch reports get rebuilt in spreadsheets, Directors see one view, branch managers work from another, and someone in operations spends half their week stitching it all together so the board can see how the business is actually performing. Add an acquisition or two, each with its own systems and its own way of doing things, and the gap between what’s happening and what you can see gets wider.

The right CRM closes that gap. Here are the five features that matter most when you’re running multiple branches, and how Alto handles each one.

1. A consistent dashboard from company level down to the individual user

The first thing a multi-branch CRM has to do is show you the whole business without burying the detail.

In Alto, the same dashboard works at every level. As a director, you see everything across the company: Appraisals waiting to be followed up, viewings that still need confirming, offers to chase, enquiries coming in, and who’s actioning what. Filter it down and a branch manager sees only their branch, so if Brentwood’s appraisal numbers have dropped, it’s obvious and it’s theirs to fix. Filter again and a negotiator sees only the tasks sitting with them.

That’s the difference between a system everyone logs into and a system that reflects how your business is structured. The data doesn’t change. The lens does.

Alto carries that same structure through sales, lettings, marketing, property management and client accounting, so progressions, move-ins, outstanding documents and contracts waiting to be signed can all be viewed company-wide, by branch, by department or by individual.

2. Permissions that match responsibility

Visibility without control is a governance problem. Control without visibility is a productivity problem. Multi-branch agencies need both.

Alto lets you set who can see each part of the system and who can act on it. A negotiator sees their own branch and team. A divisional manager sees the branches in their division. A director sees the whole business.

It goes deeper than a job title. In client accounting, your Head of Client Accounts can import receipts, pull transactions from the bank, credit rent off, issue refunds, move money between accounts and edit landlord bank details. A property manager can view the same tenancy’s account balance and resend an invoice, but not process the money. For a sales team member, the transactions tab isn’t there at all.

The aim isn’t to lock everything down. It’s to give every person the right level of visibility and authority for their role, which is what good governance looks like in practice.

The same logic applies to cross-branch working. If you want your branches to cross-sell, share contacts and refer business between them, Alto lets you do that, so an applicant registered in one branch can be matched to a property listed by another. If you’d rather keep applicant lists to the branch that owns them, you can do that instead.

3. Multiple brands under one roof

Plenty of multi-branch agencies aren’t one brand. You might run a core brand alongside a premium or network brand, or have picked up brands through acquisition.

Alto handles multi-company, multi-branch and multi-brand in the same system. Each property sits against its branch and department, and the branding flows from there. Mailshots, letters, email templates and documents all go out under the right brand, from the right team, with the right contact details.

You can configure it at whichever level makes sense: Organisation, department or branch. That includes which automations run in which branch, so a branch with a different follow-up process doesn’t have to be forced into someone else’s.

For your vendors and landlords, it just looks like one, well-run agency. Which is exactly the point.

4. Compliance and property management across every branch

Compliance is where multi-branch risk concentrates, because it only takes one missed certificate in one branch to become a problem for the whole group.

In Alto, a Regional Director can combine every lettings department and see outstanding gas safety certificates, EPCs and rent reviews in flight across the branches they’re responsible for. A branch manager filters to their branch. A property manager sees their own portfolio, with their arrears to chase, move-ins to prepare, compliance to renew and works orders to close off.

Client accounting works the same way. You can see arrears, rents due, landlords to pay, move-ins, vacates and commercial lease renewals at branch, department or company level. And if you’re acquiring, Alto lets you run multiple client accounts, so you can inherit an agency’s client account alongside its stock and managed tenancies, and control which properties, landlords, rents and payouts sit against each one.

Alto also brings the jobs that usually sit in other tabs into the same place. AML checks, terms of business and correspondence all run from the property record, and every action flows back into the timeline: who did it, which branch they belong to and where that task sits now.

5. Reporting and analytics you can actually use

Board packs built in spreadsheets are the clearest sign a CRM isn’t keeping up with the business.

Alto Analytics is built for the way multi-branch agencies ask questions. Start at company level with month-on-month and year-on-year performance across sales, lettings and applicants: appraisals won, where leads are coming from, whether what applicants are registering for matches what you’re taking to market. Then break it down by branch or department to see how the picture changes, and by negotiator or property manager to see conversion rates and individual performance.

The dashboards come ready-made, covering year-on-year performance, sales and lettings pipelines and compliance due. And with Alto IQ, you can skip the report builder and just ask: Show me how my branches are performing year on year, or where we’re winning instructions and which negotiators are achieving the best fees. Alto IQ answers in plain English, and you can add fields, build it into a live dashboard and share it with the team.

This allows you to advance from just reporting on what happened, to both understanding and reporting on why it happened.

How complicated is it to switch CRMs?

It’s the question every multi-branch agency asks, usually because branches have ended up on different systems and nobody fancies the migration.

Alto has migrated over 2,000 agencies in the last couple of years, from more than 20 different CRMs, as well as from bespoke systems and spreadsheets. Each migration starts with understanding your structure, then a detailed migration document that sets out exactly what data moves and what needs manual input. You validate the data with the team before you go live, so if a field has been used in a way the original system never intended, it still ends up in the right place. Alto gets you live in under 4 weeks.

Support afterwards is UK-based and in-house, with live chat, an efficient escalation process, a help centre, a digital learning platform for new starters and role changes, ongoing webinars and one-to-one training. Your team can track every ticket they raise, so you keep visibility there too.

Why agencies choose Alto

Alto is the UK’s #1 CRM for estate and letting agents, trusted by over 6,000 agencies to run sales, lettings, property management and client accounting in one place. Alto has a 95% customer retention rate, the highest in the property industry.

For multi-branch agencies, it comes down to four things:

  • One connected view of the business
  • Visibility matched to responsibility

See it for yourself

Every multi-branch agency is set up differently, which is why the useful next step is seeing Alto against your structure rather than a generic one.

Frequently asked questions

Can one CRM handle multiple branches and multiple brands?

Yes. Alto supports multi-company, multi-branch and multi-brand structures in one system, with branding applied automatically to letters, mailshots and documents based on the branch and department a property belongs to.

How do permissions work across branches in Alto?

Alto sets permissions by role and by branch, so each person sees and actions only what their role requires. A negotiator can be limited to their own branch, a divisional manager to the branches in their division, and a director given full visibility across the business.

Can branches share applicants and cross-sell properties?

Yes, if you want them to. Alto lets you choose whether applicant matching and contact sharing happen across the whole company or stay within a single branch.

Can I report on performance by branch and by negotiator?

Yes. Alto’s analytics break performance down by company, branch, department and individual, covering appraisals, instructions, conversion rates, pipelines and year-on-year trends.

How does Alto handle client accounting for acquired agencies?

Alto supports multiple client accounts, so an acquired agency’s client account can sit alongside your existing ones, with control over which properties, landlords, rents, expenses and payouts belong to each.

How long does it take to move a multi-branch agency to Alto?

Alto gets you live in under 4 weeks, following a structured migration process that includes a detailed migration document and a data validation stage with your team.
